## Definition

Buffer time is a fixed gap that scheduling software keeps free before or after an appointment so that bookings do not sit back to back. No other appointment is offered in that gap. It is there for clean-up, set-up, notes, travel or simply catching up after a late start.

## How buffer time works

Buffer time comes in four forms. The most common is a gap after the appointment: a few free minutes to clean the station, write notes and take payment. A gap before is for setting up a room or a device. Both can be set per service, because a colour treatment needs more clean-up than a trim, or per person, for example to cover travel between two customers in a mobile business.

For the booking page, the buffer is part of the duration. A 30-minute service with a ten-minute gap after it occupies 40 minutes in the calendar. The software uses that whole block when it works out free slots and shows the customer only start times where the block fits. The next free slot moves back accordingly. The customer never sees the buffer; in the calendar it appears as a gap.

How long the buffer should be depends on the business. Values typically sit between five and fifteen minutes, longer for some services. A good method: measure for a week how much time really passes between two customers, then use the typical value, not the worst day.

- After: free minutes following the appointment
- Before: free minutes ahead of the appointment
- Per service: a colour treatment differs from a trim
- Per person: for travel time, for instance
- The buffer counts towards the duration and shifts the free slots

## Why buffer time matters for businesses with appointments

Without a buffer, every delay spreads. If the first customer is five minutes late, the second waits five minutes, the third ten, and by the afternoon someone is calling to ask whether their slot still stands. With a buffer the day absorbs those small slips. The next appointment starts on time, the waiting area stays empty, and the time on the confirmation is the time it actually happens.

The second reason is the work itself. Back-to-back appointments mean no glass of water, no notes, no glance at the next customer's history. Nobody keeps that up for weeks, and quality drops first for the last appointment of the day. A few minutes of space keep concentration high, customer records current and the team in good shape.

## Limits and what to look for

Buffer time costs capacity. Ten minutes after every half hour is a quarter fewer appointments a day, and on busy days that is real revenue. A buffer is no substitute for an honest duration either: if the service itself is set too short, the gap behind it does not help much. And it has to match what really happens. If you routinely fill the gap with walk-ins, the calendar shows a false picture.

- Set a realistic duration for every service first
- Vary the buffer per service rather than one value for all
- Count the appointments lost per day
- Review after four weeks and adjust
- Do not use the buffer as a hidden break

## How terminio.ai does it

In terminio.ai you set a duration, a price, a deposit and the people who offer it for each service. From durations, opening hours and the weekly rotas, terminio works out the free slots on its own; rotas are kept in 15-minute steps with exceptions for single weeks. You set the buffer through the duration: 30 minutes of work plus clean-up becomes a 45-minute service, and the booking page and the phone assistant offer only slots that fit that block.

Absences such as holiday or sickness are entered with from, to and a reason, and those times vanish from the booking page at once. Booking page, calendar and unlimited staff with rotas are included in the Free plan, with up to 50 bookings a month for 0 EUR. Pro costs 19.99 EUR a month and lifts that limit, with no setup fee and monthly cancellation.

## Common questions

**How long should buffer time be?** It depends on the service. Five to fifteen minutes is usually enough, more for treatments with a lot of clean-up. Measure for a week how much time really passes between two customers and use the typical value. After four weeks, check whether the day runs smoothly or gaps are left over.

**Do customers see the buffer time on the booking page?** No. Customers only see the start times that are free. The buffer sits inside the duration the software calculates with, and it shifts the offered times back. In the business's calendar it shows up as a gap between two appointments; on the booking page it stays invisible.

**Do I need buffer time for every service?** No. A short consultation usually needs no gap, while a colour treatment or a procedure with cleaning afterwards does. Set the buffer per service rather than one value for everything. That keeps capacity where no buffer is needed and keeps the day calm where it is.
