What every reminder needs, when to send it, and ten short texts for ten trades, ready to copy.

A good WhatsApp appointment reminder is three lines long and answers five questions: who is writing, what is booked, when, where, and how to cancel. Here you get the rules for content, tone and timing, then ten ready-to-use texts for ten trades, from hair salons to driving schools. Copy, fill in the names, done.

## What every WhatsApp appointment reminder needs

A reminder has one job: the customer should know that something is on tomorrow at ten, and she should be able to tell you if it no longer works. Anything that does not serve that job can go. No three-line greeting, no opening hours, no mention of the new product range. The shorter the message, the more likely it gets read in full at the first glance at the phone.

Five details are enough, and they belong in the text in this order. Who is writing, so the number can be placed. What is booked, as long as the service gives nothing private away. When, with weekday, date and time. Where, if you have several locations or customers rarely visit. And one sentence on how to move or cancel. That is the template behind every template.

- Who: the name of your business, right in the first line
- What: the service, only if it gives nothing private away
- When: weekday, date and time, never just the word tomorrow
- Where: address or room, if it is not obvious
- How to cancel: one sentence with the route, ideally a reply in the chat

## The tone that works: short, friendly, no pressure

Write the way you talk at the counter. If you are on first-name terms with customers, stay on first-name terms in the reminder. A first name at the start, a friendly line at the end, and only facts in between. Avoid officialese like we hereby remind you of your appointment. It reads like a payment demand and works no better than a plain hello.

Pressure does not help. Lines like no-shows will be charged in full belong in your cancellation terms, not in the reminder. Whoever reads them there feels accused, and it is exactly the customers who would have come anyway who get annoyed. If you charge for no-shows, it is enough to say that cancelling by the day before is free. Same message, but it sounds like an offer.

Emojis are a matter of taste and of trade. A heart fits a nail salon, in a medical practice it looks out of place. When in doubt, leave them out: a reminder without an emoji never looks wrong, one with an emoji sometimes does.

## When to send it: at once, one day before, two hours before

The first message is not a reminder but the confirmation. It goes out right after booking and shows that the appointment is really in the calendar. Many no-shows happen because someone was never sure the booking went through. The confirmation removes that doubt, and a typo in the date gets spotted straight away.

The second message comes one day before, ideally in the afternoon, when people plan the next day. It is the most effective reminder, because there is still time to reschedule and fill the gap. The third message, two hours before, is short and practical: time, address, done. It catches the people who knew and would have forgotten anyway.

- Right after booking: the confirmation with all the details
- One day before: the actual reminder with a note on cancelling
- Two hours before: one line with time and place
- For long lead times, one more a week before

## WhatsApp reminder text examples: hair, beauty, nails, massage, tattoo

The following templates are written for the message the day before. You or your tool replace the placeholders in curly brackets. Each template has one line that only makes sense in that trade. The rest you can take over word for word.

- Hair salon: Hi {first name}, this is {salon}. Your appointment with {staff member} is tomorrow at {time}. If you would like a new colour, let us know so we can plan extra time. If it does not work, just reply here.
- Beauty: Hi {first name}, this is {studio}. We look forward to seeing you tomorrow at {time}. Please come without make-up, that leaves more time for the treatment. To cancel or reschedule, just reply in this chat.
- Nail salon: Hi {first name}, your appointment at {studio} is tomorrow at {time}. If you still have gel on, please allow 15 minutes for removal. If you cannot make it, send us a quick message and we will free up the slot.
- Massage: Hi {first name}, this is {practice}. Your massage with {staff member} is tomorrow at {time}. Please arrive five minutes early so you can settle in. If you cannot come, please reply by this evening.
- Tattoo: Hi {first name}, this is {studio}. We start tomorrow at {time}. Please eat well beforehand, drink plenty of water and skip alcohol the night before. If you fall ill, let us know and we will find a new date.

## Appointment reminder examples: practice, physio, vet, workshop, driving school

Practices follow one extra rule: the message names only the appointment, never the treatment. Whoever reads it on the lock screen should learn nothing about the person's health. Workshops and driving schools can relax on that, but there the practical line matters most: what to bring, when to drop off the car.

- Medical practice: Dear {first name} {last name}, this is {practice}. This is a reminder of your appointment tomorrow at {time}. Please bring your insurance card. If you are unable to attend, please reply briefly to this message.
- Physiotherapy: Hi {first name}, this is {practice}. Your appointment with {staff member} is tomorrow at {time}. Please remember your prescription and comfortable clothing. If it does not work, let us know by this evening so someone from the waiting list can take the slot.
- Vet: Hi {first name}, this is {practice}. We expect you and {pet name} tomorrow at {time}. Please bring the vaccination record, cats in a carrier, dogs on a lead. To cancel, just reply here in the chat.
- Car workshop: Hi {first name}, this is {workshop}. Your appointment for {registration} is tomorrow at {time}. Please drop the car off by then and hand the key in at reception. If you need another day, just reply here.
- Driving school: Hi {first name}, this is {driving school}. Your lesson with {instructor} is tomorrow at {time}, meeting point {place}. Please be on time, the lesson starts then. Cancellations up to 24 hours before are free.

## What to leave out: diagnoses, prices, promotions

The most common mistakes in appointment reminders are well-meant extras. The note about the new offer, the link to leave a review, the price list attached. Every extra makes the message longer and the cancellation line harder to find. And promotions legally need their own consent, which the appointment alone does not cover.

In health professions, data protection comes on top. After sending, the reminder sits on someone else's phone, in their backup and with the provider. Diagnoses, complaints and prices for treatments have no place there, nor does a service that points to a condition. The word appointment is always safe.

- No diagnoses, findings or complaints, not even abbreviated
- No prices for medical treatments
- No promotions, offers or review links in the reminder
- No emojis in practices, law firms and similar businesses
- No threats about no-show fees, just the note that cancelling is free

## Personalise it: first name, staff member, your own voice

The first name is the biggest lever. Hi Anna reads differently from Dear customer. Then add the name of the person the appointment is with. With Sarah at ten is more concrete than with us at ten, and it reminds the customer that a specific person is waiting. That is exactly what lowers the barrier to cancelling instead of simply not turning up.

If you enter the template into a tool, it handles the filling in. With terminio.ai you write the text once with building blocks for name, date, time and service, set the timings, and the reminders go out automatically from your own number, with no cost per message. If you still type by hand, save the template as a quick reply in WhatsApp Business and replace only the brackets.

Finally, the most important test: send the message to yourself, read it on the lock screen and ask whether you know within three seconds when and where you need to be. If so, the template is done.

## In short

- Five details, three lines: Who is writing, what is booked, when, where and how to cancel. No reminder needs more. Friendly in tone, no pressure, no promotions, no emojis in a practice.
- Three timings: at once, one day, two hours: The confirmation right after booking, the reminder the day before with a note on cancelling, the short line two hours ahead. For long lead times, one more a week before.
- Next step: copy the template and test it: Take the template for your trade, put in your name and your way of addressing customers, and send it to yourself. If you know within three seconds when and where, it is done.

## Common questions

**How long should a WhatsApp appointment reminder be?** Two to three lines, usually under 50 words. The message should be fully readable on the lock screen without anyone opening the chat. Anything that is not who, what, when, where or how to cancel makes it longer without making it better.

**How formal should the reminder be?** As formal as you are in the shop. Salons, studios and driving schools are usually casual, medical practices and law firms more formal. What matters is that the reminder does not sound stiffer than the conversation at the counter, or it reads like a payment demand.

**Can I put the treatment in the reminder?** If it is harmless, yes: haircut, tyre change, driving lesson. As soon as it points to someone's health, such as physiotherapy or dental work, write only appointment. The message ends up on someone else's phone, and the word appointment gives nothing away.

**What if someone does not reply to the reminder?** Nothing. A reminder is not a questionnaire, and most customers simply turn up without replying. Only if you really need a confirmation, for instance for long appointments, ask for it in one sentence. Anyone who does not react gets the short second message two hours before.
