Definition

A no-show is a booked appointment that the customer neither attends nor cancels in time. The reserved slot stays empty, the staff are on hand, and the revenue for that appointment is lost, because at such short notice the gap can rarely be filled.

How a no-show happens

Most no-shows are not deliberate. The customer booked two weeks ago, got no reminder and simply forgot. Or they had the wrong day in their head. Or something came up and cancelling was too much effort: call, sit on hold, reach nobody. So they stay away and hope nobody notices.

The second group never really committed. Someone who asks three businesses at once and takes the first free slot forgets the other two. Someone who had to put nothing down for the appointment, no money and no agreement to cancellation rules, loses nothing by not turning up. The lower the commitment, the higher the rate tends to be.

The cost works like this: take the average revenue of an appointment, add the staff cost for the empty time and the share of rent and overheads that falls on that hour anyway. Multiply the result by the number of no-shows you have in a month. Anyone who does this sum once usually sees for the first time how much money sits in empty slots.

  • Forgotten: no reminder, or one that came too late
  • Mixed up: wrong day or wrong time
  • Double-booked: several enquiries, only one counts
  • No way to cancel: the route is too much effort
  • No commitment: nothing put down, nothing to lose

Why no-shows matter for businesses with appointments

A business with appointments sells time. A hair salon, a physio practice, a tattoo studio or a garage has a fixed number of hours a day it can fill. An hour that stays empty cannot be made up later. The employee is paid regardless, the room is rented regardless, only the revenue is missing. And another customer who would have liked that slot was turned away earlier.

No-shows also add up. One missed appointment a day is more than twenty a month. Anyone who does not measure the number almost always underestimates it, because each case on its own looks harmless. The rate depends heavily on the trade, the clientele and how far ahead people book. Without reminders and without commitment it is, depending on the business, markedly higher than with both. And it can be brought down with simple means.

Limits and what to look for

No-shows will never disappear completely. Illness, accidents and emergencies always happen, and a customer who cancels an hour before leaves the same gap as one who never turns up. The countermeasures therefore work at different points: reminders against forgetting, an easy way to cancel against silently staying away, a deposit or a no-show fee for commitment, a waitlist to fill gaps at short notice.

Be careful with fees. As a rule you can only charge a no-show fee or a cancellation fee if the customer knew the terms before booking and agreed to them, for example on the booking page. The amount should be reasonable in relation to the service. If in doubt, get legal advice, because the rules differ by country and by case.

  • A reminder the day before, on a channel the customer reads
  • Cancelling with one tap or one reply, no phone call
  • The notice period and any fee visible before booking
  • A deposit for long, expensive or sought-after appointments
  • A waitlist for customers who can come at short notice

How terminio.ai does it

terminio.ai works at three points. First, reminders: after every booking a confirmation goes out on WhatsApp from your own number, followed by reminders in the sequence you set, say a week, 24 hours and two hours before. Anyone who cannot make it simply replies in the chat. Second, payment up front: customers pay at booking by card, Apple Pay or Google Pay through Stripe, and the money goes straight to your account. Third, a waitlist: if everything is full, the AI phone assistant notes the request and you call back as soon as a slot opens.

WhatsApp reminders are part of the Free plan, five a month with up to 50 bookings for 0 EUR. Pro costs 19.99 EUR a month and lifts both limits, with no fee per message. The phone assistant with its waitlist is part of Pro Voice at 129.99 EUR a month, with a German number and 200 minutes included. Your customers need no app and no account for any of it.

Common questions

Short
answers.

  • You work it out yourself: the average revenue per appointment, plus the staff cost of the empty time, plus the share of rent and overheads that falls on that hour anyway. Multiplied by your no-shows per month, that is your loss. There is a step-by-step guide below under Read on.
