1. Who we are

terminio.ai ("the Service") is operated by Aaron Schmidt ("we", "us"), who acts as the data controller for personal data processed in connection with the Service.

2. Categories of personal data we collect

  • Account data, name, email address, password hash, language preference.
  • Business data, your tenant name, services, staff members, branding, opening hours.
  • Customer data you upload, names, phone numbers, email addresses, notes, and booking history of your own customers.
  • Usage and telemetry, pages visited, features used, device identifiers, browser type, IP address, approximate location.
  • Support communications, messages you send us and our replies.
  • Billing data, handled by Paddle (see Section 5). We see only order metadata such as plan, status, and last 4 digits of the card.

3. Why we process your data

  • To create and maintain your account and provide the Service (contract performance).
  • To enable bookings and send appointment reminders, including WhatsApp messages where you have configured this (contract performance).
  • To detect, prevent, and respond to fraud, abuse, and security threats (legitimate interests).
  • To improve the Service, debug issues, and understand usage (legitimate interests).
  • To provide customer support (contract performance / legitimate interests).
  • To send service announcements (legitimate interests) and, where you opt in, marketing communications (consent).
  • To comply with legal obligations such as tax and accounting (legal obligation).

4. Legal basis

We rely on contract performance, legitimate interests, consent, and legal obligation as appropriate for each processing activity listed above. You may withdraw consent at any time where consent is the legal basis.

5. Who we share data with

  • Paddle.com, our Merchant of Record. Paddle processes payments, manages subscriptions, calculates and remits taxes, and issues invoices. See Paddle's privacy notice.
  • Hosting and infrastructure providers that run the Service on our behalf (cloud hosting, databases, file storage).
  • Messaging providers (e.g. WhatsApp) for sending appointment reminders that you have configured.
  • Analytics and error-monitoring tools that help us keep the Service stable and useful.
  • Professional advisers (legal, accounting) under duties of confidentiality.
  • Authorities where required by law or to protect our rights.

We do not sell your personal data.

6. International transfers

Some of our providers (including Paddle and certain infrastructure partners) may process data outside the EEA / UK. Where this happens we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or adequacy decisions.

7. How long we keep your data

We keep account and business data for as long as you have an active account, plus a reasonable export window after deletion. Billing and invoicing records are retained by Paddle for the period required by applicable tax law. Usage logs are kept for a limited period for security and debugging.

8. Your rights

Subject to applicable law, you have the right to access, rectify, erase, restrict, port, and object to the processing of your personal data, and to withdraw consent where processing is based on consent. You may also lodge a complaint with your local data-protection supervisory authority. We will respond to verified requests within one month.

9. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, audit logging, and least-privilege access for staff.

10. Cookies

We use a small number of strictly necessary cookies (for example, to keep you logged in) and may use analytics cookies to understand how the Service is used. You can manage cookie preferences in your browser.

11. Changes to this notice

We may update this Privacy Notice from time to time. Material changes will be notified in-app or by email.
