This list is for businesses that want to remind customers of appointments automatically on WhatsApp and need to know which software can do it and what it charges. We read the pricing pages and public feature lists of 25 providers in September 2026 and picked the six that document WhatsApp. terminio.ai is on the list and it is our own product, so weigh that as you read. Where a provider only names SMS or email, we say so in one paragraph at the end.
What we looked at
A WhatsApp reminder is quickly promised. Whether it helps day to day comes down to five points that pricing pages often print small. We checked exactly these five for every provider and only judge what can be documented there. What we could not verify appears in the text as an open question, not as a no.
- Own number: does the message come from your business's number, or from a provider number your customers do not recognise.
- Price per message: is WhatsApp included in the plan, or do you pay per message, through credits or an add-on module.
- Consent and GDPR: can you collect consent at booking, where is the data stored, and is there a data processing agreement.
- Replies: does a "can't make it" land with you in the chat or in the calendar, or is the message one-way.
- The rest of the price: from which plan WhatsApp is included, and what the tool otherwise costs per month, per booking or per team member.
1. terminio.ai: WhatsApp reminders from your own number
terminio.ai is built for salons, practices, workshops and studios that want to remind customers without typing. You link your WhatsApp by scanning a QR code; from then on every message comes from your own number. Every booking triggers a confirmation, however it was booked. Reminders run as a sequence you define, say a week, 24 hours and two hours ahead, each in your own words. Anyone who can't make it replies straight into your WhatsApp chat, and the calendar shows the status of each reminder.
The price: Free costs €0 and includes 50 bookings and five WhatsApp reminders a month. Pro costs €19.99 a month with unlimited bookings and reminders, no cost per message, no setup fee, cancel monthly. Pro Voice at €129.99 adds the AI phone assistant with a German number and 200 minutes. Customers need neither an app nor an account, and hosting is in the EU. What is missing: a marketplace for new customers, practice management or point-of-sale integration, and the provider is young and DACH-focused.
Pick terminio.ai when you send a lot of reminders and want a fixed price for them instead of counting messages. The second reason is the phone: in Pro Voice an assistant answers calls and books straight into the same calendar the WhatsApp reminders run from. With only a few appointments a month, Free is enough to test the flow with five messages, and it needs no payment details.
2. SimplyBook.me: WhatsApp through credits, from €0
SimplyBook.me is an international booking tool that many businesses assemble from optional add-ons. It suits solo providers and small teams that want a cheap start and plenty of building blocks to choose from. Customers book without an account, there is no commission, and deposits are available from the Basic plan. WhatsApp runs on credits: according to the provider's pricing page, September 2026, 100 credits cost €8.
The price: Free costs €0 for up to 50 bookings with one provider, Basic €13.90 a month. The number of providers depends on the plan, from 1 to 30. Add the credits: 300 reminders a month come to €24, more than the Basic plan itself. Which number the message comes from and whether replies flow back into your system, we could not verify. SimplyBook.me's voice booking works on the web and in messengers, not on the phone.
Pick SimplyBook.me when you want a flexible tool with many building blocks, send few reminders a month and find €13.90 for Basic a better deal than €19.99 for terminio Pro. Once you need several hundred messages a month, the credits tip the sum the other way. And a team of more than 30 no longer fits any plan.
3. Fresha: 100 messages free, then per message
Fresha is salon software with a marketplace: point of sale, stock, marketing and the appointment book in one system, plus a directory through which new customers find you. WhatsApp is built in. According to the provider's pricing page, September 2026, 100 messages a month are free and every further one costs extra. That covers a solo salon with one reminder per appointment, not a team that sends a confirmation and two reminders.
The price: €19.95 a month plus €14.95 per team member. New customers who arrive through the marketplace cost 20% of their first booking, at least €6. Deposits cost 2.79% plus 0.20, the AI concierge $99.95 per location. Your customers need a Fresha customer account, and your business is listed in the marketplace by default. What the 101st WhatsApp message in a month costs, we could not verify.
Pick Fresha when you want point of sale and appointment book in one and need new customers from the marketplace, even at 20% of their first booking. For the WhatsApp reminder alone it is the wrong reason: the 100 free messages are a bonus, not a price advantage, as soon as more than one person on the team has customers to remind.
4. Shore: WhatsApp from the Wachstum plan
Shore is scheduling software from Munich, used in hair and beauty salons for years, with its own booking page, deposits at booking and a business app in every plan. WhatsApp reminders are available, according to the provider's pricing page, September 2026, from the Wachstum plan. On the entry plan you are without WhatsApp.
The price: from €49.90 a month, billed yearly, with no free plan but a 14-day trial. We cannot document a figure for the Wachstum plan. Team size depends on the plan, from 2 to unlimited. Whether the message comes from your number, whether it is billed per message and whether replies land in the calendar, we could not verify either; ask before you sign a yearly contract.
Pick Shore when you want an established salon software from Germany and a yearly contract is fine for you. If WhatsApp is the main reason, compare the Wachstum price first with €19.99 for terminio Pro, cancel monthly, unlimited reminders. Do the sum for the year, not the month, because you commit for twelve months.
5. Dr. Flex: 12 cents per message, for practices
Dr. Flex is online booking for medical practices, a German provider with its own booking page where patients book without a patient account. WhatsApp is built in and costs, according to the provider's pricing page, September 2026, 12 cents per message. There is also VoiceAI, a voice AI from €39 plus €0.89 per interaction, built for the practice routine.
The price: €39 a month plus €3.99 per online booking, or a €99 flat rate for one calendar; each additional calendar costs €25. There is no free plan. Add the messages: 300 reminders a month come to €36. At 100 online bookings a month the flat rate is cheaper than Starter, and WhatsApp comes on top per message in both cases. Whether replies flow into the calendar, we could not verify.
Pick Dr. Flex when you run a practice, have few online bookings a month and want WhatsApp and a voice AI from a German practice tool. With many bookings and many messages, paying per booking and per message gets expensive; then a flat plan pays off, at terminio.ai €19.99 with no price per booking or per message.
6. Phorest: add-on module with a fixed template
Phorest is salon software for larger salons and chains: marketing, loyalty, stock and several locations in one system, plus the PhorestGo app and deposits at booking. WhatsApp is, according to the provider's pricing page, September 2026, an add-on module, and the message template cannot be edited. You remind in Phorest's words, not your own.
The price: on request, with no free plan. What the WhatsApp module costs and whether it is billed per message, we could not verify. The Front Desk AI answers customer messages; it does not answer the phone. For a business that wants to compare prices this is the weakest starting point on the list: you get the number in a sales call.
Pick Phorest when you run several locations and need a complete package with stock management; the WhatsApp reminder is then one building block among many. If you have one salon and want to remind in your own words, a tool with an editable template and a public price serves you better.
Where WhatsApp reminders are missing: SMS or email only
Most booking tools still remind by email and SMS. That is not wrong, but SMS usually cost per message, and an email sits in the inbox, not in the chat your customers check anyway. For these providers we could only document email, SMS or push: Calendly, TIMIFY, eTermin, Acuity Scheduling and samedi name email and SMS, Terminland email and an SMS add-on, Magicline email or SMS, Microsoft Bookings email, with SMS only in North America.
The marketplace tools look similar: Treatwell names email, SMS and push, Booksy SMS and push, Planity and Salonkee SMS, Eversports Manager email and push, Doctolib SMS, email and its own app, FairGarage a confirmation by email. For jameda, bsport, Mindbody and Autobutler we found no reliable information on the reminder channel. If WhatsApp is a must for you, these providers drop out, or you need a second tool just for the message.
Verdict: which provider for whom
Six providers document WhatsApp, and they bill it very differently. One line per provider:
- terminio.ai: businesses sending many reminders that want a fixed price and their own number.
- SimplyBook.me: solo providers with few messages that want a cheap, modular start.
- Fresha: salons that want point of sale, marketplace and appointment book in one.
- Shore: salons that want established German software and accept a yearly contract.
- Dr. Flex: practices with few online bookings that want a practice tool and voice AI together.
- Phorest: larger salons and chains, where WhatsApp is one block in a complete package.
