1. terminio.ai: books appointments straight into the calendar
terminio.ai Pro Voice is for businesses whose calls are mostly appointment requests: salons, studios, workshops, physiotherapy practices, small practices. The assistant picks up when you cannot, checks the real calendar live and enters the appointment, moves it or cancels it. It answers the questions you have stored about directions, parking or prices, and says nothing you have not stored. Whatever it should not handle, it forwards or notes as a callback in the app, with a summary after every call.
According to the provider's pricing page, September 2026, Pro Voice costs €129.99 a month with a German phone number and 200 call minutes included, then €0.25 per minute, no setup fee, cancel monthly, one price for the whole business. Booking page, WhatsApp reminders and team calendar are in the same plan. Setup takes about ten minutes: number, call forwarding, greeting, test call. Data lives in the EU. The assistant speaks German, accents included. What is missing: a link to practice management or patient records, and the provider is young and focused on Germany, Austria and Switzerland.
Pick terminio.ai if you give appointments and want the phone assistant booking into the same calendar as your online bookings. For prescription requests, triage or client intake you are better off with a practice assistant or a person.
2. fonio.ai: many minutes, many languages
fonio.ai is a standalone AI phone assistant for the self-employed, trades, car dealers, workshops, real estate, hotels and practices. It answers calls, answers questions, schedules appointments during the conversation and forwards to the right person. Appointments reach your systems through calendar integrations, the website names Calendly among them, and CRM integrations such as HubSpot. fonio.ai does not bring a booking page of its own.
According to the provider's pricing page, September 2026, the Solo plan costs €99 a month billed annually, otherwise €119, with 1,000 minutes and one phone number included; further minutes cost €15 per 100 minutes. Team costs €299 a month billed annually with 3,600 minutes and three numbers, plus a 30-day money-back guarantee. The provider advertises GDPR compliance; the website does not name a specific server location. The assistant speaks more than 60 languages according to the pricing page.
Pick fonio.ai if you have many call minutes, serve callers in several languages and your calendar already lives elsewhere. Billed annually, Solo is cheaper than terminio Pro Voice and includes five times the minutes, but without a booking page or WhatsApp reminders. Do the maths with your real minutes, not with the plan price.
3. voiceOne: the cheapest entry, the final price in a call
voiceOne from Bamberg is the provider that leads searches for a phone assistant for hairdressers, beauty salons, nail salons and physiotherapy with “from €29”. The assistant answers around the clock, books into the connected calendar, the website names Google Calendar, Microsoft 365 and practice software, forwards calls, speaks many languages at no surcharge and takes up to 60 calls in parallel. Servers in Germany, free trial without a credit card, ready in 15 minutes.
According to the website, September 2026, the price starts at €29 a month; packages are put together individually. How many minutes are in the price, whether a number is included and what a further minute costs is not public. The final price for your business comes in a call.
Pick voiceOne if you want to start at the lowest entry price, your calendar lives in Google, Microsoft 365 or practice software, and you are happy to put the package together in a call. Then compare the final price with what terminio Pro Voice includes for €129.99: number, 200 minutes, calendar, booking page and WhatsApp.
4. VITAS: billed per conversation, built for the practice
VITAS from Nuremberg, known through telefonassistent.de, takes appointment requests, prescription requests, sick notes and referrals and captures them in structured form for the team; with a connected calendar the assistant books directly, otherwise it presents the request for planning. The focus is on practices, medical centres and clinics, though any other trade works in principle. Own infrastructure in Germany without US third parties, ISO 27001 and C5 attested.
According to the pricing page, September 2026, net per month: Flex €40 plus €0.28 per conversation, Basic €98 with 500 conversations, Plus €245 with 1,500, beyond that €0.25 per conversation. Multilingual costs €99 a month extra, annual billing gives about 18 % off, and you can try for 30 days without payment details. Setup takes about 60 minutes according to the website. Whether a phone number is included, the pricing page does not say.
Pick VITAS if you run a practice, have many short calls and billing per conversation rather than per minute suits you: 500 conversations are 500 calls however long. If you hand out appointments and want the booking page with it, terminio is the better fit; if you want to hand over the prescription line in structured form, VITAS is.
5. Ordicall: a fixed price for medical practices with prescriptions and callbacks
Ordicall is aimed at medical practices: general medicine, dentistry, gynaecology, dermatology, orthopaedics, paediatrics and more. The assistant answers calls around the clock, handles appointments, prescription requests and callback requests, hands over to the team, a specialist or the emergency service, and sends confirmations and prescriptions by SMS with templates. Integrations with practice systems are mentioned; which calendars are connected directly, the website does not list.
According to the pricing page, September 2026, the fixed monthly price starts at €89 without minute counting; Ordicall sizes the tariff to practice size and call volume, and you get the final price on request. Plus a 30-day money-back guarantee and setup within 24 hours; data stays in Europe according to the website. Without a figure for the included calls the price cannot be compared with minute bundles.
Pick Ordicall if you run a practice and the assistant should handle prescriptions and callbacks, and you prefer a fixed monthly price to a pricing page with figures. For a salon or a workshop the tool is too specialised.
6. Dr.wait: practice software with a phone add-on, per practitioner
Dr.wait is practice software for medical practices: scheduling, online reception, waiting-room app, prescription line, video consultation, and as an add-on an AI phone assistant that schedules appointments and takes prescription orders. The assistant is not a standalone product but part of the system the practice already uses for appointments. That is the same idea as terminio.ai, built for the medical practice and paid per practitioner.
According to the provider's price list, September 2026, Basic is free for good, Premium costs €19.90 plus VAT per practitioner a month, and the phone assistant €99 per practitioner a month. No setup fee, cancel monthly, 30-day trial without a credit card, servers in Germany. Whether a phone number is included and how many minutes the price covers, the price list does not say.
Pick Dr.wait if you run a practice with one practitioner and want scheduling, waiting room and phone from one system. With several practitioners, add up the prices before you compare: from two practitioners terminio Pro Voice is cheaper, from three clearly, though the Dr.wait assistant then sits in the software the practice works in anyway.
7. Doctolib: the phone assistant of the practice software
Doctolib offers its AI phone assistant as part of its practice software for medical and dental practices. It answers calls, recognises existing patients according to the help centre, books, moves and cancels, takes prescription requests and forwards professional callers. Because it sits inside the practice software it works with the patient record, and that is the difference to every standalone assistant on this list. Data centres in Germany and France.
Doctolib publishes no list prices. According to third-party sources, 2026, the assistant is part of the Patientenmanagement package at €229 per practitioner a month on an annual term; the cheaper Light package does not include it, and the same sources cite setup and data migration on top. Phone number and call minutes the website does not name.
Pick Doctolib if your practice runs on Doctolib anyway and the assistant should recognise existing patients and file prescription requests into the practice software. Without Doctolib there is no assistant, and per practitioner on an annual term it is the most expensive option on this list.
8. Vapi: a platform for your own voice agent
Vapi is not a finished assistant but a developer platform on which you build your own voice agent: conversation logic, calendar integration, forwarding, all through an API and dashboard. It suits businesses with their own IT, or an agency that builds and runs the agent for you. Nothing here is finished; everything comes out of a project.
According to the provider's pricing page, September 2026, the platform costs $0.05 per minute; speech recognition, language model and speech output are charged at cost, or nothing if you bring your own API keys. Data residency is available only on the Enterprise plan. Phone number, privacy review and maintenance stay with you.
Pick Vapi if you want to build something no provider ships ready-made and have the development time for it. For a salon that only wants to take appointments, it is the most expensive route, even if the minute looks cheap: building, testing and maintaining costs time that no per-minute price shows.
